
These settings determine the method of fax transmission and the fax address format for the company. The default fax address format is automatically set up as: [Fax:CompanyName@111-111-1111]. In WMS, faxes are sent to the e-mail outbox with the recipient formatted with a fax number instead of an e-mail address. If necessary, contact the fax software company directly to get more information about special requirements.
Purchase orders and schedule notifications are sent from WMS as attachments to fax transmissions. Depending on the fax software used, one format may render better than the other.
The E-mail to Fax Format field setting determines the format of the message contained in the body of the fax that is sent from WMS. Selecting the format of any text message contained in the body of the fax transmission will depend on the fax software being used. One format may render better than the other.
From the Setup menu, select Company.
Or, click the Company icon within the Setup toolbar.
Click the
Fax Options icon within the vertical list of icons on the left.

Select the appropriate option.
Symantec WinFax - All fax formatting is automatically set up to work with WinFax.
MAPI-Compliant Fax - Contact the fax software company directly to verify.
SMTP-Compliant Fax - Contact the fax software company directly to verify.

In order for Symantec WinFax to function in a client/server configuration, the host/server must be running on Windows 2000 or newer, and the client workstation must be running on Windows XP, SP2 or newer. |

Some fax software packages require a prefix to be added to the format of the e-mail address that is accepting the fax. If the client's fax software requires special formatting above and beyond the standard formatting, enter the appropriate prefix in Fax Address Prefix field.
Some fax software packages require a suffix to be added to the format of the e-mail address that is accepting the fax. If the client's fax software requires special formatting above and beyond the standard formatting, enter the appropriate suffix in the Fax Address Suffix field.
The default setting is to include the supplier's name in the fax address. If the fax software package does allow the supplier's name in the fax address, click the Include Vendor Name checkbox and leave it blank to remove the name from the address.
To format fax information to interface with VillageEDocs, click on Configure for VillageEDocs. All fax formatting automatically sets up to work with VillageEDocs.

Click the Fax Attachment File Format drop-down menu.
Click the format to use.
Rich Text Format (RTF) - This format is a Windows standard format and does not require any special viewer other than the WordPad program that is installed with Windows to view the attachment.
Adobe Acrobat (PDF) - This format is an industry standard for electronic documents and requires the Adobe Acrobat reader to view the attachment. Download this free reader at www.adobe.com/products/acrobat. PDF is the recommended format.

If WMS is having problems sending faxes, set the format to PDF if RTF was the original choice. Changing to PDF has been known to resolve certain faxing issues. |
Click the E-mail to Fax Format drop-down menu.
Click Plain Text or HTML. The default setting will be Plain Text.
Plain Text - Plain text format is one that all e-mail to fax programs understand. This is the default setting for fax format in WMS. The plain text format does not support bold, italic, colored fonts, or other text formatting. It also does not support pictures displayed directly in the message body.
HTML (Hypertext Markup Language) - A set of tags used to mark the structural elements of text files. HTML files include tags that create hyperlinks to other documents on the Internet. This format supports text formatting, numbering, bullets, alignment, horizontal lines, pictures (including backgrounds), HTML styles, stationery, signatures, and web pages.
Click on Save to save any changes.
Continue with setting up the reporting preferences for the company, or click the Close
button to exit the screen.
