
From the Sales Pricing menu select Approve Sales Contracts. The Approve Sales Contracts screen opens:
Description - A description of the base model or option as it appears in the Purchasing and Sales Pricing modules.
Qty - The option quantity.
Unit Cost - The current cost to build the base model or option based on the cost database in the Purchasing module.
Unit List Price - The current list price for the base model or option that is in the Sales Pricing database, and was sent to the sales center as the list price.
Selling Price - The actual selling price on the ratified contract in the Sales Center.
Sales Variance - The variance between the list price and the selling price. The calculation is list price less selling price. A negative variance in this field indicates the selling price exceeded the original list price, and the client made more profit than originally anticipated.
Selling Price Margin - The calculated margin between the actual selling price and the cost.
Selling Price Margin % - The calculated margin percent between the actual selling price and the cost.
Associated PO - This box is automatically checked if purchase orders have been issued for the configuration.
Sent to Purchasing - This box is automatically checked if the information has already been accepted and sent to the Purchasing and Sales Pricing modules. This identifies the information as history on the job, and the information is read-only.
Deleting Configurations not Previously Sent to Purchasing
If WMS receives a "Delete" configuration from a sales center for an option's corresponding "Add" configuration that has NOT already been sent to Purchasing, it will automatically be deleted. The user will no longer have to accept the deletion in the Confirm dialog. The "Delete" will also automatically remove the option from the Sales Contract Approval screen along with its job and areaIF no other options are attached.
Additional detailed information related to each node in the Sales Contract Approval screen is available in the details pane on the left side of the screen.
Toggle the details pane on or off by clicking the
Hide Details icon.
Use the Expand/Expand All
buttons to expand contract details.

buttons to collapse contract details.

Click on the item of interest in the description pane to display the associated details on the left. The above screen shows detail information at the option level.
For options requiring an attached estimate, the attached file name displays in the Associated Estimate field in the details section.
If the option falls under a change order, the action field represents the transaction occurring through approving this contract. Add indicates this is a new option. Delete indicates the option will be removed (notice the negative quantity for that option in the Quantity field within the Sales Contract Approval screen).
For options with color/selection notes, double-click to view the Selections detail screen. Any color/selection notes entered from the sales center appear.
Click OK to close the Selections screen.
At the configuration level, data such as the action, configuration ID, status, lot premium and swing, and various dates are available.
Customer information, (full name, address, city, state, zip code, home and work phone numbers, and e-mail address), can be sent from the sales center and is visible from this screen when the Customer row is selected. The Full Name field in WMS is populated by concatenating name fields from the sales center database. The maximum number of characters allowed in the Full Name field is 30; an error when retrieving the configuration from the sales center will occur when this field is exceeded and it will be necessary to shorten either the first, middle, or last name of the customer in the sales center database.
This customer information can be sent to Timberline Accounting by performing an integration. The customer name is stored on the job record on the Contacts tab, in the Name field. The information will only write to Timberline Accounting if the following settings are BOTH selected within WMS: Integration menu > Accounting > Accounting Database Settings > Synchronization tab Timberline Job Cost does not overwrite Workflow Management, and Workflow Management populates blank fields in Timberline Job Cost. With both of these settings turned on, the customer name will be written to Job cost in the following format: First name, Middle Initial, Last Name, and will be written only if the existing customer name field in Timberline is blank (i.e. WMS does not edit or make changes to the field if it currently contains data).
WMS does not currently bring down any co-buyer information from the sales center. When a sales configuration is deleted/cancelled from the sales center, any buyer information will be removed from the job in WMS.
